Administrative Assistant - Educational Data and Systems Analyst

Prairie Rose Public Schools (PRPS) is seeking a full time Administrative Assistant – Teaching & Learning to join the team at Division Office. The Role: This multi-faceted Teaching and Learning support role is designed to bridge the gap between strategic data analysis, technical systems, and administrative support. This role provides support to the Assistant Superintendent through work with complex data—such as diploma, provincial achievement results, literacy & numeracy assessment data, as well as other division data trends, to offer insights necessary for evidence-based decision-making. This position also serves as support on the PowerSchool ecosystem and digital assessment platforms. Additionally, the role provides essential administrative support to Teaching and Learning including the oversight of dual credit programming, international students, and teacher professional development. Key Responsibilities: Student Information Systems & Technical Support • System Administration: Provide ongoing support for the PowerSchool Student Information platform • Assessment Technology: Serve as the division-wide support with the Vretta Digital Assessment platform. Assist in the logistical planning and on-site administration of SAT exams at designated writing locations throughout the division. • Emerging Technology: Actively engage in professional development to integrate technological advancements into division workflows. Data Analysis & Strategic Reporting • Educational Data Analytics: analyze complex division-wide data sets including Alberta Education Diploma, PAT, and Literacy & Numeracy results to identify trends and provide actionable insights for executive leadership. • Develop comprehensive reports and visualizations that translate raw division data into strategic recommendations for division-wide decision making. Administrative Support: Teaching and Learning • Dual Credit Programming: assist in the administrative lifecycle of dual credit programming, including monitoring enrollments, tracking partnership agreements, and facilitating consistent communication with high schools regarding student progress and course completions. • Professional Development Management: Provide administrative support to the Teaching and Learning areas, by monitoring and tracking teacher professional development requests, supporting Assistant Superintendent considerations and responses, and facilitating division-wide training initiatives.

Qualifications

• Administrative Office Professional Certificate, Business Administration Diploma or equivalent • Proficiency in G-Suite and Microsoft Office • Proficiency in PowerSchool and atrieveERP software; considered a strong asset • Proficiency in SchoolCash software; considered an asset • Proven organizational skills • Excellent communication skills; both written and verbal • Previous work experience in an office setting; required • Previous work experience in a high school environment is an asset • Familiarity working with various AI platforms

Terms of Employment

• Monday – Friday --- 7 hours per day / 35 hours per week • Start Date: August 24, 2026

About Prairie Rose Public Schools:

Prairie Rose School Division is primarily located in the South-Eastern region of Alberta in the communities of: Bow Island, Cypress County, County of 40 Mile, Foremost, MD of Acadia Valley, Oyen, Redcliff and Special Areas, along with two schools in the City of Calgary. The Division consists of 18 public schools, 2 Outreach schools, 2 Alternative Program schools, and 19 Hutterite Colony schools and educates approximately 6500 students. Our Division office is located in Dunmore, Alberta, near the city of Medicine Hat.
